Grace days and absences: charging them correctly

Sick, holiday or an unexpected absence: what do you charge and what not? Here's how KidLogg tracks grace days and absences automatically.

Absences are one of the trickiest parts of invoicing. When do you charge for a day a child wasn’t there? Many daycares work with grace days.

What are grace days?

Each child has a set number of grace days per year. They cover absences — illness, an unexpected day off or an attendance that’s too short — without extra charge.

How KidLogg calculates

For every scheduled day, KidLogg looks at the actual attendance:

  • Full attendance → no grace cost, billed normally.
  • Half day → half a grace day.
  • Very short or no attendance → a full grace day.

If the grace-day balance runs out, the uncovered part is billed as an unauthorised absence.

Scheduled and unexpected days

Approved extra days are billed automatically. Other unscheduled days are automatically excluded — but as an admin you can still add them manually.

Always the final word

KidLogg calculates automatically, but you stay in control: you can exclude or add days before you send the invoice.
