From Excel to digital: digitalise your daycare in 5 steps

Still on paper or in Excel? Here’s how to take your daycare digital, step by step — from attendance to invoicing and parent communication.

Many daycares still run on paper attendance sheets and Excel files for invoicing. It works — until it doesn’t: a missed check-in, a calculation error, or a parent who isn’t sure what to pay. Going digital doesn’t have to be a big project. In five steps, you’re up and running.

1. Map your current way of working

List what you track today: attendance, meals, naps, rates, invoices. That tells you what to move over — and you’ll often find a lot of double work disappears.

2. Set up your structure
